At Next Equine, we take the protection of your personal information very seriously. This policy describes how we collect and process your data in compliance with GDPR, so you can safely trade and use our AI technology.
1. Data We Collect
We collect personal data in the following scenarios:
- Directly from you: Name, email, phone number, profile picture, and the information you enter in listings or chat history. If you use our Private Sale form or Buyer Matching form, we collect the contact details and horse description you provide — this can occur without creating an account.
- Automatic collection: When you visit the site, we collect IP address, browser type, device type (e.g., iPhone/Android), screen resolution, and your behavior on the site (which listings you view, how long you stay on a page).
- From third parties: If you log in via Google or other external services, we receive your email and name from these services to create your profile.
- Messages between users: When you message a buyer or seller through our messaging feature, the messages are stored in our database. If a conversation is reported, an administrator may read that conversation as part of moderating the platform.
2. AI Processing and Security
As an AI-driven platform, we process data specifically to power our intelligent features:
- EquineChat: The messages you send in EquineChat are processed by our AI partner Google Gemini. Data is sent encrypted and is not used to train their general models.
- User responsibility: We strongly recommend that you never write sensitive personal information (e.g., CPR numbers) in the chat. As data is processed by AI models, it is your own responsibility to ensure that you do not share information you wish to keep confidential.
- Equine Insights: Equine Insights (our AI-powered news overview) is temporarily paused and not currently active. When active, we aggregate global news using AI to give you a quick overview of the market — no personal data is processed in the generation of summaries, which are based solely on publicly available news sources.
Storage of AI Data
- Chat history (EquineChat): Your conversations are saved permanently to your chat history, so you can revisit previous questions and answers. You can delete individual chats yourself at any time.
- Service improvement: We use anonymized questions (without user identification) to identify popular topics and improve our AI service.
- Deletion: You can delete individual chats directly from your profile at any time. When deleting your account, all your data is permanently deleted within 30 days.
3. Cookies and Analytics
We use cookies and similar technologies to understand our users:
- Google Analytics & Microsoft Clarity: We use these tools to see how users navigate the site so we can remove errors and optimize the design.
- Facebook Pixel: We use this to measure the effect of our advertising and show you relevant horse listings on social media.
- Consent management: You can always change your cookie settings via our Cookie Policy.
4. Disclosure of Information
We never sell your data to third parties. We only share data with necessary sub-processors:
- Payment processing: Stripe handles all payments. We never see your full card details.
- Hosting & Infrastructure: Our core infrastructure runs on Supabase and AWS with servers located in EU regions.
- Media management: Cloudinary is used for optimization and delivery of images, videos, and health material (including X-rays and veterinary reports) uploaded in listings. Cloudinary acts as a data processor and operates under a Data Processing Agreement (DPA) in accordance with GDPR. The purpose of the storage is to promote transparency in the horse trade.
- Email (Resend): Resend is used to send transactional emails such as confirmations, notifications, and account verification. New-message notifications include the sender's name and a short excerpt of the message.
- CDN & Security (Cloudflare): Cloudflare is used to protect the platform from DDoS attacks, optimize load times, and deliver content quickly via their global network.
- Legal requirements: We only disclose data to authorities if we are legally obliged to do so (e.g., in case of suspected fraud).
- Identity Verification (Stripe Identity): To ensure safety on the platform, we use Stripe Identity to validate your identity via passport or driver's license. Your ID documents are sent directly to Stripe and are not stored by Next Equine.
- SMS Validation (Twilio): We use Twilio to verify your phone number via SMS to prevent spam and fake profiles.
5. Retention and Deletion
We only retain your data as long as necessary to fulfill the purpose or comply with the law:
- Listings (Sold/Expired/Deleted): Listing data (text, facts, metadata) is stored for up to 5 years in accordance with the Bookkeeping Act and to ensure documentation in case of complaints. Associated media files (images, videos, X-rays, veterinary reports) are deleted from our media server as soon as possible after the listing is deleted — typically within 24 hours.
- Drafts (Incomplete): Automatically deleted after 6 months of inactivity.
- Evidence of abuse (Bans): In case of permanent blocking due to fraud, technical evidence (incl. IP and document analysis) is stored for up to 5 years for potential police investigation.
- Technical logs: Temporary logs of IP addresses and browser metadata for normal users are deleted/anonymized after 6 months.
- Private Sale and Buyer Matching enquiries: Contact details submitted via the Private Sale or Buyer Matching forms are retained for up to 2 years from the date of submission for the purpose of matching and potential follow-up. You may request deletion at any time by contacting us.
- Messages between users: Messages are stored for as long as your account is active and are deleted along with your other personal data within 30 days of account deletion. If a conversation is part of a report or abuse investigation, it may be retained longer, per the evidence-retention point above.
If you request to have your active account deleted, we will delete all your personally identifiable profile data within 30 days, unless we are legally obliged to keep them (e.g., transaction data).
Information Collected via Google (Google User Data)
When you use Google Login, we obtain the following information via Google API services to provide you with secure and easy access to the platform:
- 1. Data Collected: We obtain your email address, your full name, and your profile picture via Google API services.
- 2. Use of Data: This information is used solely to identify you as a user and create/manage your personal profile on the platform. Next Equine's use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.
- 3. Data Sharing: Under no circumstances do we share the data we receive from Google with third parties for marketing or advertising purposes. Data is only shared to the extent strictly necessary to provide the platform's core functionality.
- 4. Storage and Protection: Your Google data is stored securely in our encrypted database (at Supabase) and is protected by modern security standards.
- 5. Data Deletion: You can delete your account at any time under 'Settings' on your profile. Upon deletion, all your associated Google data will be permanently removed from our systems within 30 days.
6. Your Rights (GDPR)
You always have the right to:
- Access the data we hold about you.
- Have incorrect information corrected.
- Object to our processing of your data.
- Receive your data in a readable format (data portability).
7. Age Requirement
By creating an account, you confirm that you are at least 16 years old. To sell, you must be at least 18 years old, which is confirmed separately when activating a seller profile.
